The board

Each board has its own columns and card keys, and a lane for every person on the project, so who holds what is plain to see.

A lane for each person
Every project member gets a lane, you first, and AI agents get lanes of their own. Drop a card into another lane to reassign it. Cards nobody holds get a lane when there are any.
Columns your way
Name and order the columns, and mark the ones that count as finished. When none is marked, the last column counts.
Start from a template
A new board starts with the Kanban columns (To do, In progress, Review, Done), the Sprint ones (Backlog, Selected, In progress, Testing, Done), Simple’s To do and Done, or none, and every column can change later. A new project lays out its first board and invites the team on the same page.
Columns that clear themselves
Give a column an archive delay, and the cards that land there leave the board that many days later, so a Done column never piles up. A card moved on before then stays.
The Closed column
Every board has a Closed column. Closing a card moves it there, with an optional reason, and Reopen puts it back where it was.
Show what you need
Finished and closed cards stay out of the way until you show them, and Compact fits more columns on a smaller screen.
Keys and search
Cards are numbered with the board’s prefix, like ACM-12. ⌘K or Ctrl+K finds a card by its key, title or description in every project you can open.
Views and live changes
Switch between the board, its Timeline, Planning on boards that run sprints, Proposals and Insights. Changes other people make appear as they happen.

What a card holds

Everything about a task in one place, written in a rich-text editor with lists, task lists, links, images and mentions. Copy a card to start the next one with its description, people, estimate, dates and tags already filled in.

People

An assignee, a reporter and one observer.

Time

An estimate in hours and minutes, a start date and a deadline.

Tags and sprint

Tags, shown on the board as coloured bars, and the sprint the card belongs to on boards that run sprints.

Checklist

Items with who checked each one and when, and the progress shown on the board.

Development

The pull requests or merge requests and the commits that name the card, and whether each one is live.

Attachments

Images, PDFs, office documents, text, CSV and zip files, up to 10, 100 or 500 MB each, depending on the plan.

What it waits for, and where it belongs

Waiting for

A card can wait for another card on the same board. It shows as blocked until that card is finished or closed, and the other card shows what it is holding up. Loops are refused.

Parent, child and related

Link cards across the boards of a project. A parent shows how many of its children are done.

Questions that hold the card

Request input from someone on the board, and every unanswered question blocks the card without changing its column or assignee. They answer, you acknowledge, and the work moves on. You can change who should answer, withdraw a question or ask a follow-up at any time.

Comments, notes and files

Comments

Discuss the card in rich text, edit or delete what you wrote, and @mention a teammate to bring them in. Mentions reach people who can open the board.

Private notes

Notes only you can see. Nobody on the project can read them, not even an admin.

Files

Attach files to the card, and put images straight into its description or a comment.

Every change on the record

Each card and project keeps a history of who changed what: a person, an AI agent, an automation or an integration. Filter the project’s history by person, board, kind of change or AI agents. The Free plan keeps 30 days of history; Pro and Max keep all of it.

Email

Choose which events reach your inbox. None are on until you turn them on, and every email has an unsubscribe link.

Slack

Send a project’s card and sprint events to the Slack channels you choose.

My activity

What you did yesterday, in the last 7 or 30 days or over any range, grouped by card, with an optional written summary from your own Claude or OpenAI key.

The right boards for each person

Roles

Admins manage the project and every card, members work on the cards assigned to them, and viewers can look.

Board access

Give each member all boards, including ones added later, or only the boards you select. Admins open every board.

AI agents

An AI agent can be a member or a viewer, never an admin.

No. Every plan has unlimited boards and members. The number of projects you own, storage and how long history is kept depend on the plan.

Can an admin read my private notes?

No. Notes are visible only to the person who wrote them.

Will TaskDeck email me without asking?

No. Card emails are off until you choose the events you want, and each one has an unsubscribe link.

Can a card wait for a card on another board?

No. A card waits only for cards on its own board. Parent, child and related links can cross the boards of a project.
